Getting Started

How does travel planning with Passionate Vacations work?

Start by completing the Start Planning form with the details you already know. Deidre personally reviews each request and responds within 24 hours with the next step or any questions needed before planning begins. Depending on the trip, the next step may include a consultation, a planning fee, or additional information before detailed research starts.

Do I need to know exactly where I want to go before I contact you?

No. You can start with how you want the vacation to feel, what you want to experience, your approximate dates, budget, and priorities. Those details can be used to help narrow down destinations and travel styles that fit you.

What types of travel does Passionate Vacations plan?

Passionate Vacations plans couples and romantic travel, ocean and river cruises, resorts and all-inclusive packages, family travel, group travel, celebrations, domestic getaways, international land vacations, rail vacations, theme parks, and customized multi-destination experiences.

Do you only work with couples?

Couples travel is a primary focus, especially romantic getaways, anniversaries, honeymoons, reconnection trips, and celebrations. Passionate Vacations also plans family travel, groups, milestone trips, cruises, resorts, and other travel experiences when the fit is right.

Will I work directly with Deidre?

Yes. Your planning relationship is led by Deidre, who reviews your inquiry, discusses your priorities, and guides the planning process. You are not being passed into a call-center style system where no one knows your trip.

Planning, Timing & Fees

Do you charge a planning fee?

Some travel requests require a professional planning fee, especially when the trip involves detailed research, custom comparisons, a complex itinerary, or group planning. The scope and any applicable fee are explained before significant research or proposal work begins.

How far in advance should I start planning?

Earlier is usually better, especially for groups, cruises, popular resorts, holiday travel, celebrations, or trips with limited availability. You do not need every detail decided before reaching out. Once your approximate timing and priorities are known, Passionate Vacations can help determine whether it is the right time to begin planning.

What should I have ready before I contact you?

You do not need a finished itinerary. Helpful starting information includes your approximate dates, departure city, number of travelers, estimated budget, the type of experience you are considering, and what matters most to you about the trip.

Can airfare be included in my travel planning?

Yes, flight needs can be included in the planning conversation when appropriate. The Start Planning form asks whether you need flights, whether airfare is included in your budget, your preferred airlines, and your preferred departure and return times so those details can be considered from the beginning.

Can you plan multi-destination trips or detailed itineraries?

Yes. When a trip calls for it, Passionate Vacations can help organize multiple stops, transportation between destinations, accommodations, activities, and a practical day-by-day flow. The level of detail depends on the trip and the planning scope you choose.

Booking & Payments

How do deposits and final payments work?

Deposit amounts and final-payment deadlines are set by the travel supplier and vary by booking. Your specific requirements are provided before you commit so you know what is due, when it is due, and which supplier terms apply.

Can I make payments over time?

Many trips booked in advance allow additional payments between the initial deposit and the final-payment deadline, subject to supplier requirements. When available, clients can also start a payment request through the secure Client Portal.

How are travel payments and credit-card information handled?

Clients receive payment instructions for their booking and can request payments through the secure Client Portal when available. Passionate Vacations does not collect card information through general website forms or the Client Portal. Secure card information is submitted separately through the Clientease system.

What happens if the price changes before I book?

Travel prices and availability can change until a reservation is confirmed and any required payment has been accepted by the supplier. If a price changes while you are deciding, Passionate Vacations can review the updated option with you before you move forward.

How will I know what is included in the price?

Your proposal, booking information, or invoice will identify the components included in your travel arrangements. Items such as optional excursions, certain gratuities, resort charges, premium dining, baggage, or personal expenses may be separate depending on the supplier and trip.

Changes, Cancellations & Travel Protection

Do you recommend travel protection?

Yes. Travel protection is strongly recommended because unexpected events can affect even well-planned trips. Coverage depends on the specific policy and provider, so clients are responsible for reviewing the policy terms and deciding whether the coverage is right for them.

What happens if I need to change or cancel my trip?

Contact Passionate Vacations as soon as you know a change or cancellation may be needed. Supplier rules, deadlines, penalties, and refund terms vary by booking and will apply. Travel protection may provide benefits for certain covered situations, depending on the policy purchased, but coverage is determined by the plan terms and provider.

Are deposits refundable?

Sometimes, but not always. Deposit and cancellation terms are controlled by the supplier and can vary by fare, property, cruise line, package, promotion, and how close you are to travel. Your applicable terms are reviewed as part of the booking process.

What if an airline, cruise line, resort, or other supplier changes part of my trip?

Travel suppliers sometimes make schedule, itinerary, property, or operational changes. When a change affects your booking, Passionate Vacations can help you review the information and available options within the supplier's rules.

What if something unexpected happens while I am traveling?

For an immediate safety, medical, or on-property emergency, contact the appropriate local emergency service or travel supplier first. Passionate Vacations can also assist with booking-related questions and help you understand the next steps for arrangements made through the agency.

Cruises, Resorts & Groups

Do you plan group travel?

Yes. Group travel may include birthday trips, cruises, ministries, reunions, retreats, organizations, destination celebrations, and other shared travel experiences. Group planning has additional coordination and fee considerations, so the planning scope and responsibilities are established before detailed group work begins.

Can you help if this is my first cruise?

Yes. First-time cruisers often need help understanding cruise-line differences, cabin choices, dining, gratuities, embarkation, onboard expectations, excursions, and preparation. Passionate Vacations provides guidance so you are not trying to figure everything out after you board.

Does all-inclusive mean everything is included?

Not necessarily. What is included varies by resort and package. Premium restaurants, spa services, excursions, airport transfers, certain beverages, tips, resort fees, or other extras may be separate. The inclusions that matter to your trip are reviewed before booking.

Can you help with excursions and activities?

Yes. Activities and excursions can be considered as part of the overall experience, and popular options may be worth arranging in advance. Recommendations depend on the destination, your interests, timing, mobility needs, and how much structure you want in the trip.

After Booking & Ongoing Support

What support do I receive after I book?

Support continues after the reservation is made. Depending on your trip, you may receive travel-preparation guidance, important documents, payment and deadline reminders, access to the secure Client Portal, and help with questions that come up before travel. The goal is to help you stay organized and prepared from booking through departure.

What is the Client Portal used for?

The secure Client Portal gives booked clients one place to review available reservation information and delivered documents. Depending on the booking, it may also show itinerary details, payment history, upcoming information, and options to start a payment request.

Will I receive travel documents and preparation guidance?

Yes. The exact documents depend on the trip, but booked clients may receive booking confirmations, payment and cancellation information, travel-protection guidance, preparation materials, checklists, itinerary information, and other documents relevant to their experience.

How do I reach Passionate Vacations if I need help during my trip?

Your travel documents include the contact information and supplier resources relevant to your trip. For an urgent on-the-ground issue, contact the appropriate local emergency service or supplier first when necessary, then contact Passionate Vacations for help with booking-related matters.
